We are looking to hire a Fleet Compliance lead on a full-time basis to work within the Operations team. The role will provide monitoring, reporting & administrative services vital to maintaining the overall compliance of the largest food distribution fleet in Ireland.

Duties & Responsibilities:

Continuous administration of the Fleet management system “Truckfile”, ensuring vehicle documents, test reports, and inspections are updated. 

Take responsibility for maintaining the Fleet asset register, ensuring vehicle data is always accurate.

Monitoring of all 3rd party vendors ensuring they are completing their scheduled fleet maintenance activities on time and submitting their respective fleet documents onto “Truckfile” for assessment.

Supporting the Fleet Manager with regular tasks including cost & vehicle performance analysis.

Assist with compiling vital KPI’s that accurately detail fleet performance.

Conducting and compiling vehicle audits, identifying defects and following up with workshops to ensure repairs are completed. 

Assisting the Distribution & Q&A teams by providing training and technical support for fleet telematics and management systems. 

Processing of Accident report forms, assisting with Incident investigation and following up with Insurance company claims.

Ensuring vendor invoices are processed against PO numbers, quotations and defect reports. Maintain company PO database / follow up late invoices with vendors.

Assist with the Company Car Fleets driver defects, arranging repairs/services/call outs for breakdowns.

Ensuring the Pallas Foods Fleet remains in-line with all current and legislative requirements vital to our company’s integrity as the lead Food distributor in Ireland.

Maintain and update all Transport driver databases, including license, CPC, and H&S training records. 

Conduct regular vehicle and driver audits around our network of depots reinforcing company compliance culture. 

Fully utilise Tachograph management systems to ensure drivers remain compliant and infringements are recorded/issued promptly.  

Analyse and develop reports for driver infringements that clearly identity repeating patterns of poor behaviour. 

Assist Transport teams with tachograph/driver’s hours compliance.

Liaise with Transport managers on compliance issues with the aim to reduce risk and increase overall vehicle/driver performance. 


Excellent knowledge of MS Word, Excel, PowerPoint and Web based database systems. 

Ability to collect large amounts of data regarding fleet operations, quickly analyse and provide useful metrics for management.

Experience within a busy distribution role & knowledge of HGV legislative requirements.

Flexible working hours and excellent organisational skills.

Ability to work as part of a team as well as on your own initiative.

Transport Manager CPC or equivalent qualification 

Must be able to demonstrate knowledge of Tachograph regulations and EU legislation (WTD) 

Understand the fundamentals of the road haulage operator licensing system and Commercial Vehicle Roadworthiness Acts

Previous experience with Computer Maintenance Management Systems and driver’s hours analysis software is essential.

Must have own vehicle & full driver’s license as the role is based in Dublin but there will be a requirement to travel to all outer depots and vendor sites.
