Safety Solutions Group are a Health & Safety Training, Consultancy, Certification and Inspection company based in Blanchardstown. We are seeking a full-time Administrator for the Workplace Instructor Network (WIN) and to support our Front Office and Training department. The role will be office based.

WIN supports and advises Instructors who are delivering training for their own customers. WIN is an online platform for Instructors to advertise quality assured work-based courses to employers and learners. WIN also verifies and certifies courses on behalf of WIN approved instructors.

The position:

 Supporting the WIN Manager.
 Completing all WIN administrative tasks.
 Preparing training material for training providers and learners.
 Gathering and maintaining information and data using online portals and excel spreadsheets.
 Liaising with clients, training providers and learners.
 Assisting with general office administration upon request.
 Supporting the reception and communication needs for the Company.
 Assisting with planning and coordination of training courses for WIN Instructors.
 Assisting the Training Manager, Accounts Manager and Managing Director with general office administration on request.
 37.5 hours per week, 4 weeks annual holiday plus all statutory Public Holidays.


 Affiliate instructors.
 Update instructors by email.
 Arrange instructor renewals.
 Prepare paperwork for instructor courses and renewals.
 Update Instructor data spreadsheet and PHECC Portal.
 Email instructors for updated certs.
 Update SSAP/WIN when new documentation available.
 Provide awarding body with information.
 Investigate complaints.
 Update course record log.
 Arrange monitoring visits
 Responsible for winireland email account.
 Desk-monitor all responder courses using agreed sampling criteria.
 Prepare and send review to instructors.
 Print certs and update cert log.
 Answer telephone.
 Generate invoices and take payments.
 Review processes and update/improve where necessary.
 Ensure all courses are completed within stated timelines

The person:

 Ideally has experience of working in a busy office environment.
 Excellent communication skills – written and oral.
 Accuracy on completion of Office Administration tasks, administrative documents and all communications.
 Ability to work under pressure.
 Computer literate – Strong MS Office skills a must plus experience in Sage would be beneficial.
 Enthusiastic, flexible, team player, self-starter, pro-active.
 Ability to work under pressure.
 Computer literate – Experience of using outlook, word and excel preferable.
