PURPOSE OF THE ROLE
The Production Assistant supports the Associate Producer and Director / CEO in all aspects of
their roles, and works closely with the Production Team to support delivery of all Gate work.
To support the Associate Producer and Production Team as required, including
booking rehearsal rooms, organising work permits, contracting.
Assist with the administrative needs of the productions, for example, gather
information, create agendas and schedules, check availabilities, maintain filing
systems, copy and collate scripts and rehearsal materials, organise travel and
accommodation, prepare for meetings, take minutes etc.
Ensure rehearsal room, technical rehearsals and green room hospitality is in place.
Support the Associate Producer in obtaining child performer licences and clearing
music rights as required.
Provide ticketing support though management of house seats and other requests,
via our box office system (Spektrix)
To facilitate opening night including post-show receptions, distribution of invites and
ticketing, and coordinate press night celebrations and gifts.
To act as the point of contact for all script submissions
Co-ordinate the Gate Studio schedule and manage Gap days as required.
Act as an Ambassador for the Gate Theatre at functions, opening nights and other
Maintain a close working relationship with members of staff across departments,
particularly the Tech team and Stage Managers.
Attend read-throughs, previews and press nights and other Gate Theatre events as
Organise any meet and greet events as required by the Associate Producer.
Manage and maintain filing of all show-related documentation such as script, stage
management book, props lists etc.
To assist and manage the diary of the Director / CEO, booking meetings and
arranging locations as appropriate.
To Assist the Director / CEO in preparing for these meetings, providing briefing
papers as necessary.
To book all travel and accommodation for the Director / CEO and look after
Administer Board meetings, including setting dates and establishing locations.
Draft letters of support and MOU’s for Director / CEO
