The Office Administrator will be responsible for all administrative functions within the Estimating Department based in our Co Monaghan office. This position will suit someone who enjoys using their interpersonal and organizational skills to help ensure that Individual and Team goals are achieved.
Estimating Department Point of contact for all Customer invitations to Bid
Record project data and correspondence (CRM, Y Drive / sharepoint, Box)
Consult with clients, Sub-contractors or personnel in other departments where necessary to obtain additional project information
Assign projects and tasks to individuals and groups within Estimating
Maintain work schedules & co-ordinate activities within the Department
Assist with the maintenance and updating of priced inventory list
Assist in the preparation of Awarded Project Price updates and communicate to Customers.
Co-ordinate the pricing of all Customer Options and Change Orders
Assist in the preparation of Actual Costs of Awarded Projects
Assist in the validation of sub-contractor invoices
Carry out price comparisons and analyses across projects
Work with the Existing Estimating Team in Ireland & USA to ensure that individual and team targets and deadlines are consistently achieved
Produce Departmental Reports and assist in the creation of new reports as required for business needs
Assist in the development of Estimating IT systems by testing and providing input & feedback on proposed changes prior to and after rollout
Co-ordinate Department training programme between IRL and USA, including documenting and organising training notes and videos
Document, monitor and update Standard Operating Procedures
Assist with and provide input to inventory / stocktake valuations as required
Provide administrative support to future Internal Estimating Development projects
Ensure that an exceptional level of customer service is delivered at all times
Excellent working knowledge of Microsoft Excel
Excellent literacy and numeracy skills
Excellent accuracy levels and detail oriented
Excellent organizational skills
Ability to Communicate clearly and effectively and establish good working relationships with others
Must enjoy working in a fast-paced office environment, where new thinking and problem-solving skills are encouraged in order to meet challenging goals
Ability to understand and interpret construction plans and associated documentation would be an advantage.
