Wilson Controls Ltd is a small but busy electrical contracting company operating within the UK and Ireland.

We are seeking an experienced Office Administrator to join our company based in our Dublin 8 office. The ideal candidate will have a great work ethic and the ability to work off of their own initiative. They must have excellent interpersonal skills, as well as excellent communication, numeracy & organisational skills with a keen eye for detail and the ability to prioritise tasks.

Duties & Responsibilities:

• Keep track of all administration tasks and deadlines within the company
• Creation and management of handover documentation
• Creation and management of Method Statements
• Management of employee documents and contracts
• Onboarding of new staff members
• Fleet management
• Managing administration for apprenticeship programmes
• Overseeing correct use of clock-in software and fleet-management software as well as report creation
• Carrying out clerical duties such as phone calls, responding to emails, and preparing documents, including office correspondence
• Sorting and distributing incoming and outgoing post
• Create and update records and databases with personnel, financial and other data
• Assist in purchase orders and invoicing
• Daily inbox, diary and calendar management
• Organising of all company travel arrangements and accommodation
• Build a relationship of trust and reliability with clients and partner companies
• Create and maintain filing systems
• Maintain a neat and tidy office space
• Facilitate meetings both in person and on Zoom / Microsoft Teams
• Budget Management
• Develop and improve company procedures
• Undertake Ad Hoc duties as required

Required attributes:

• 1-3 years’ experience in a previous role, preferably in the construction sector
• Outstanding communication and interpersonal skills
• Proficient with Apple Devices and all Microsoft packages e.g Word, Excel, Outlook
• Excellent organisational and time management skills
• Ability to work in a fast-paced environment
• Ability to work to deadlines without monitoring
• High attention to detail

• Administration / Office management Qualifications
• Health & Safety in construction Qualifications
• Previous experience creating RAMS
• AutoCad Experience
• Full driver's license
• Own car
